Central Peninsula Garden Club Board
The CPGC Board is comprised of up to 11 members elected by the club to serve a 3-year term, Jan.-Dec. Board meetings are held monthly (Sept. through May).

CPGC committees plan and execute specific activities of the club; members can meet each other and support the greater Central Peninsula gardening community. Contact any CPGC board member at cenpengardenclub@gmail.com to learn more about committee volunteer opportunities. Current committees include:
- All
A Board Member is the Committee Chair for each appointed committee and may have over site of sub-committees. The Committee Chair may appoint a secretary, recruit other committee members, and meet as needed. If used, the committee secretary will create and keep contact information for committee members and the notes of committee meetings. The Committee Chair or his/her proxy will present a committee report at the monthly CPGC Board Meetings (as needed), scheduled for 5:30 p.m. on the 3rd Tuesday of each month, Sept. through May. Committee participation is for one year, meeting as needed. Committee Chairs will maintain detailed records of any expenditure of funds allocated by the Board to each committee and will present those reports to the Treasurer for Board approval for reimbursement and/or payment. All expenditures must be Board approved.
- Programs
Plans and decides monthly programs Sept-May and makes them happen, subject to CPGC Board approval. When booking out of town speakers, they evaluate expenses such as speaker fees (generally none) and travel & lodging costs, possibly coordinating with other organizations to share expenses and hosting duties. The committee will communicate with the Publicity Committee, Treasurer for gift cards, and the Hospitality Committee.
- Hospitality
Opens the meeting facility and sets up the room for monthly meetings. This includes the seating arrangements, moving tables around as necessary, making coffee, providing refreshments and the dispersion and collection of nametags. They purchase food and beverage supplies or solicit donations. Committee members are present at each meeting for membership sign-up and collection of dues, oversight of door prizes, and access to the Historical Volumes. Staff sets up and staffs the table to sell CPGC merchandise (t-shirts, hats, program DVDs, decals, etc.) at the monthly programs and other appropriate CPGC events/activities. Tracks inventory and handles reorders, as needed. Submits collected monies to the Treasurer The committee resets the room to what it was initially after each meeting, vacuums the carpet, wipes down tables, removes trash, and locks the facility.
- Newsletter
Solicits content monthly from members and others, writes articles, takes or gathers pictures of club events/programs/tours, puts it into newsletter format or has another volunteer do it, and emails it to current members via the CPGC Google account. They also may sell newsletter ads as a club fundraiser. There is no prescribed size to the newsletter.
- Garden Tours
Solicits and plans Garden Tour destinations, usually with a 20-25 person limit per tour. The committee chair or their designee will assess each potential tour site for areas of interest, parking capacity, and safety. They are responsible for writing tour site descriptions and directions to each site. The Summer Tours committee creates and maintains tour participant sign-up lists (tours are open to dues-current members only), and confirms participation. This committee will coordinate with the Publicity and Newsletter Committees for public announcements of upcoming tours. Committee members need to keep eyes and ears open for interesting tour places all year.
- Special Events
Manages CPGC participation in the Spring round table "Get Ready for Spring!" event, the Home Show, and the Harvest Moon Festival. The Special Events Committee makes venue reservations (coordinating with the CPGC Treasurer), sets up and takes down after events. For the “Get Ready for Spring!” event, the Special Events Committee arranges table staffing and publicity (Publicity Committee). For the Home Show, it decorates the Home Show booth, arranges for sales items in that booth (generally plants), provides a free item drawing (generally a free 1-year Club membership), sets up the monitor for a photo slide show (Tech Committee, Historian), provides for a Home Show free seminar (optional), and schedules booth staffing. For the Harvest Moon Festival it sets up and maintains a booth with volunteer staffing overseeing the dispersion of membership information, merchandise for sale, and display of some locally grown produce and flowers for decoration. This committee coordinates with the Tech, Publicity, Newsletter, Workshop Weekends, and Soil Amendment Committees. It may also solicit additional volunteers to help.
- Workshop Weekends
Plans & schedules weekend workshops or seminars. Uses the Board approved software program to obtain and maintain participant registration, create reports, and possibly collect registration fees. Establishes a budget that includes expenses such as speaker fees (generally none), travel & lodging costs for out of town speakers, gift cards, computer program annual fees, and other such costs associated with Workshop Weekends. May coordinate with other organizations to share expenses. Schedules host volunteers from the CPGC Board for each workshop; the host volunteer collects workshop fees from participants (if not done during the registration process), introduces the presenter, ensures the workshop ends on time, and presents a gift card to the presenter on behalf of the CPGC. The Weekends committee will communicate with the Publicity Committee for marketing services, the CPGC Treasurer, and possibly the Hospitality Committee. Workshop registration should be available at the CPGC Home Show booth, but opened to CPGC members prior to that event, as members have first option. The Weekends committee chair will submit a written analysis of the Workshop Weekends events to the CPGC board each year.
- Publicity
Accepts and edits submissions from other committees. The Publicity Committee submits public service announcements (PSA's) to the local newspapers, radio stations, the Newsletter Committee, the CPGC Facebook page, and other social media. The committee can publish and with the assistance of volunteers distribute flyers. They evaluate the CPGC website and supply the CPGC website host with updates or modifications, as needed. A couple of committee members will also administer the CPGC Facebook page. This committee coordinates closely with the Newsletter Editor.
- Nominations
The Nominations Committee will solicit nominations, vet potential CPGC board members, review candidate’s applications, and submit a recommended slate to the CPGC Board for election at the Annual Membership Meeting in January. The number of nominations is generally the same as the vacancies that need to be filled.
- Tech
Sets up the club's visual and audio systems for monthly meetings and special events. They transfer equipment as needed to and from the CPGC storage unit. This committee coordinates with the Programs, Workshop Weekends, Special Events, and Publicity Committees. They submit equipment requests as needed during budget evaluations. Responsible to train and maintain a back-up Tech Support person to assist with coverage at the many varied Board approved activities. Over sees the duplication and supply of DVD’s and/or recording for current electronic communication modalities.
- Soil Amendments
Solicits orders for this annual fundraiser, collects money, and keeps order records. The Committee coordinates with the Soil Amendment owners/suppliers regarding product cost and delivery, establishes retail cost (with CPGC board approval), and coordinates distribution and staffing for order pick-up day in May. This committee will also coordinate with the Publicity, Hospitality, and Workshop Weekends Committee. Product orders are taken at the CPGC monthly program reception desk, during CPGC events (the Get Ready for Spring! event, Home Show, etc.), and via mail, email, or phone to chairperson. This is a sub-committee under and reporting to the Fund Raising Committee Chair.
- Mini-Grants
Invites and presents mini-grant requests to the CPGC board with recommendations for approval/denial. Tracks all grant funding and reports to the CPGC Board about grant implementation. Reports or coordinates reporting by grant recipients about their progress in meeting their min-grant goals to club members (at club programs, in newsletter, etc.). Facilitates CPGC board review for future CPGC funding. This committee will coordinate with the CPGC Treasurer, Programs, and Newsletter Committees.
- Plant Sale
Chairman has a committee of 3 or 4 people which help with the pre-sale duties. These duties include reserving a place for the sale, arranging for tables to use for the sale, signing up about 17 volunteers for the actual sale date, assigning the volunteers duties, arranging for a port-a-potty day of the sale, and collecting cardboard boxes (such as flats used for soda & beer) to carry out plants on the day of the sale (boxes can be stored at the CPGC storage unit). Pres-sale duties also include working with the Publicity Committee to publicize the event and having sale signage ready for the sale (repair or replace, as needed). The previous year’s volunteers have first option to help with the sale the following year; they are usually contacted in Mar. or early April. The Plant Sale committee has an outline of actual jobs, timeline for the day of the sale, and list of items needed for the sale. This is a subcommittee under and reporting to the Fund Raising Chairman.
- Fund Raising
Maintains over site of the Plant Sale, and Soil Amendments Committees reporting monthly to the CPGC Board.
Researches and presents ideas for fund raising to the CPGC Board for consideration. Members of the committee include the Chairmen of the Plant Sale, and Soil Amendment Committee and other members as deemed necessary.
